Auto-syncs Hubstaff tracked hours to Gusto payroll every pay period.
After every Gusto payroll run, the integration automatically pushes detailed expense entries into FreshBooks — covering gross wages, employer taxes, contractor payments, and reimbursements — so you never enter payroll data twice. You connect the two tools from Gusto's App Directory (search 'FreshBooks', click Connect, and authorize with admin credentials on both sides). Before your first real sync, map each Gusto payroll category (Wages & Salaries, Employer Taxes, etc.) to the matching FreshBooks account; setting default mappings means any new earnings types or deductions you add later get routed automatically. You can choose to sync automatically at 5 pm PT on each payment date, or trigger syncs manually when you want to review before data hits your books. For teams paying 30 or more contractors at once, Gusto can batch all payments for a given date into a single FreshBooks entry to keep your ledger clean. Gusto also lets you create and remove FreshBooks accounts for employees directly, which keeps both systems in sync as your team changes. As of January 2024, U.S. FreshBooks customers can run payroll entirely inside FreshBooks through a deeply embedded version of Gusto (called FreshBooks Payroll), handling tax calculations and bank reconciliation from one screen. Data flows: Gusto → FreshBooks (one direction). Each payroll run creates categorized expense entries in FreshBooks. No data flows back from FreshBooks to Gusto. Pain points: Employee benefits deductions are imported into FreshBooks as expenses but Gusto does not withdraw from your bank for them — your accountant needs to record a manual journal entry for the liability. If you add a new earnings type in Gusto and haven't set a default mapping, the sync will stall until you map it manually. Admin permissions are required in both platforms to set up the connection.
